Facility Terms & Conditions
Welcome to EVSU-OC Function Hall. These Terms and Conditions govern the rental and/or use of our function hall, facilities, and surrounding premises. By booking or using our venue, you agree to comply with and be bound by these terms.
For Eastern Visayas State University - Ormoc Campus Student & Employee Only:
Venue Care, Restrictions, and Prohibited Items:
1. Property Liability: The student or employee is fully financially responsible for any loss, breakage, or damage caused to the venue structure, furniture, fixtures, and equipment.
2. Prohibited Materials: The use of plastic, glitter, confetti, and open flames is strictly prohibited.
3. Decorations and Fasteners: No nails, screws, heavy-duty duct tape, or damaging adhesives may be driven into or applied to walls, doors, floors, or ceilings. All decorations must be temporary and completely removed after the event.
4. Loss of Personal Property: EVSU-OC assumes no liability or responsibility for any loss, theft, or damage to personal belongings, gifts, cash boxes, or equipment brought into the venue.
For a None EVSU-OC student or employee; outside EVSU-OC Clients:
1. Reservation Deposit: A non-refundable deposit of 50% of the total rental fee is required at the time of booking to officially reserve your date and time slot. Payment will be received by the cashier and the official receipt must be presented to our Income Generating Project (IGP) Officer.
2. Balance Payment: The remaining balance of the rental fee must be paid in full no later than two (2) days prior to the scheduled event date.
3. Security Deposit: A refundable damage/security deposit of Php 2,000 is required alongside the final payment to cover any potential property damage, excessive mess, or overtime penalties. This will be fully refunded within seven (7) business days post-event, provided no violations occur.
4. Cancellation and Rescheduling: Cancellations made at least seven (7) days before the event will receive a refund of payments made (excluding the non-refundable deposit). Cancellations made after this period are non-refundable.
5. Schedule Adherence: Access to the hall for setup is strictly permitted starting at the time agreed between the client and the IGP Officer. A special permit will be provided the IGP Office. The permit will be presented to the EVSU-OC Guard upon entry during the event setup and preparation. All events must conclude, and guests must vacate the premises, by the time agreed between the client and the IGP Officer.
6. Overtime Fees: Any unauthorized extension or delay in vacating the hall will be billed at an overtime rate of Php 1,500 per hour (or fraction thereof), which will be deducted from your security deposit or billed separately.
7. Property Liability: The Client is fully financially responsible for any loss, breakage, or damage caused to the venue structure, furniture, fixtures, equipment, or landscaping by guests, organizers, or hired third-party vendors.
8. Prohibited Materials: The use of glitter, confetti, raw rice, smoke or fog machines (unless explicitly pre-approved), and open flames is strictly prohibited.
9. Decorations and Fasteners: No nails, screws, heavy-duty duct tape, or damaging adhesives may be driven into or applied to walls, doors, floors, or ceilings. All decorations must be temporary and completely removed after the event.
10. External Vendors: You are welcome to hire external suppliers (caterers, event stylists, sound system, and the likes); however, all vendors must coordinate with venue management regarding ingress, egress, and electrical load capacities.
11. Post-Event Cleanup: Caterers and event organizers are responsible for clearing away all food waste, garbage, and rental equipment immediately following the conclusion of the event.
12. Loss of Personal Property: EVSU-OC assumes no liability or responsibility for any loss, theft, or damage to personal belongings, gifts, cash boxes, or equipment brought into the venue by the Client, guests, or vendors.
13. Force Majeure: Neither party shall be held liable for failure to fulfill their obligations if such failure is caused by acts of God, natural disasters, severe weather conditions, government lockdowns, or other unforeseen emergencies beyond reasonable control. In such events, deposits may be rescheduled or refunded at the sole discretion of management.
